Backup/Restore Data


BACKUP DATA

PURPOSE

Use the Backup Data option on the File menu to safeguard the data files on your hard disk. Data files are your records. During a backup, all of the Prospect Information, Salespersons, Managers, Automobiles, and Letters are saved to another location. Program files are the files you purchased which give the computer instructions for operating TrakMate for WindowsTM. You do not have to copy or back-up program files. The Backup can only be performed by a user with security level 3 (DLR/MGR/ADMIN) and should be done daily.

REASONS FOR BACKUP

No system is immune to electric surges and power failures. Your only defense is to always back up your data files. Some important reasons for backup are:

You don't want to lose a deal.

You don't want to lose any prospects in your database.

You don't want to lose the valuable hours your sales force or administrative staff have invested in data keypunch.
BEFORE YOU PROCEED

NOTE: To protect your information and to keep from copying bad information onto your only good back-up files, you should plan to rotate your back-up files. Work with 5 backups; one for each day of the week. At the end of each day, make a copy of your day's work from the hard disk onto your back-up disk(s). Keep your newest backup in a different place from the others.

HOW TO PROCEED

From the TrakMate For WindowsTM Desktop Menu, Select "File" then "Backup Data".(If you do not have a security level 3 (Dlr/Mgr/Admin) this item will be disabled)

On the "Backup" form, use the drop down "Backup to Drive" box to choose the drive you wish to backup to.

The box below the drop down will give you instructions and/or notify you whether the selected drive has available space.

Click on the <Continue> button when the backup diskette is in the proper drive.

You will be prompted to put in additional diskettes if necessary.

Note: If the backup procedure is cancelled before successfully completing, the backup diskettes will be unusable and should be recreated.

If the backup is successful you will be notified.

See Appendix (Care of Diskettes) for further information on how to properly care for your backup diskettes.
Note: If you choose not to use the internal TrakMate backup facilities, you may use a third-party backup program. If you use another backup program you will only need to backup the data files which are normally located in the \Program Files\TrakMate subdirectory. The names of the data and associated files are:

TMW.MDB
TMW.LDB
TRAKMATE.INI (This File Could Be Located in the \Windows subdirectory if not located in the \Program Files\TrakMate subdirectory)


RESTORE DATA FROM BACKUP

PURPOSE

Use the Restore Data from Backup option on the File Menu to restore your backup file(s) to the hard disk.

BEFORE YOU PROCEED

Make sure you have the most recent Backup. If restoring from disk, place the disk in the appropriate disk drive. (If the backup requires multiple disks, insert Disk #1.) After the restore is completed the data files on your hard disk will be overwritten by the information on these backup disks. Use your WindowsTM manual or ask your hardware vendor to help you if you are unfamiliar with these terms.

HOW TO PROCEED

At the TrakMate For WindowsTM Desktop menu, select "File" and then "Restore Data"(If you do not have a security level 3 (Dlr/Mgr/Admin) this item will be disabled)

On the "Restore From Backup" form, use the drop down "Restore From Drive" box to choose the drive where the prior backup disk(s) are located.

Click on the <Continue> button when the disk is in the drive and/or the proper drive is selected and ready to be restored to the hard disk.

You will be prompted to put in additional backup diskettes if necessary.

Important: If you cancel the restore before it is completed, the data files will be damaged and unusable. You will need to complete a restore to be able to work with your files.

If the restore is successful you will be notified.
IF YOU HAVE A PROBLEM

If during the process you are notified that there is an Error reading Drive _: the problem could be the following:
    1. Finger prints, soda spray, or the surface of the backup diskette could be bad.


    2. The backup disk could have been reformatted on a different computer which is out of alignment from your computer.


    3. Your disk drive is not working correctly.
