File Maintenance


REPAIR DAMAGED HARD DISK FILES

PURPOSE Sometimes the TrakMate for WindowsTM data files can become damaged due to a power outage or from turning the computer off before properly exiting the system.

Use the "Repair Data" option from the "File" menu on the TrakMate for WindowsTM Desktop " if you think that something is wrong with your hard disk data files. For example, if prospects are being left off of certain reports, or the system freezes, some of your disk files may be damaged.

HOW TO PROCEED

At the Desktop, use the mouse to select "File" then "Repair Data" from the Desktop Menu.

An hourglass icon will appear while the Repair Data is running. Your hard disk light should always be flashing during this process. When the repair is finished you will be notified in a message box. To return to the Desktop, click <OK>.

NOTE: TrakMate for WindowsTM will normally detect data file problems when the system starts up. If it does detect a problem, it will automatically begin a Repair Data.


COMPACT DATA

PURPOSE

In the course of long term use of your TrakMate for WindowsTM data files, space on your hard drive will become less efficiently used based primarily on the amount of customers you have deleted from the system. In order to maintain a high state of performance, you should run the "Compact Data" selection from "File" on the Desktop menu.

HOW TO PROCEED

At the Desktop, use the mouse to select "File" then "Compact Data" from the Desktop Menu. (If you do not have a security level 3 (Dlr/Mgr/Admin) this item will be disabled in the Network version).

An hourglass icon will appear while the Compact Data is running. Your hard disk light should always be flashing during this process. When the Compact is finished you will be notified in a message box. To return to the Desktop, click <OK>.

NOTE: The "Compact Data" function should be done normally once a week. This is done easily by answering <YES> on the question "Compact Data?" as it is given when a user with security level 3 (DLR/MGR/ADMIN) or a Remote Module user is exiting the system.
