FILE EXPORT UTILITY

PURPOSE

The Export Facility enables TrakMate for WindowsTM users to transfer TrakMate for WindowsTM data to other software programs or environments, i.e., WordPerfect, Lotus, DBase, etc. However, TrakMate cannot support the use of any other software packages other than TrakMate. Consult with your programmers or manuals for the software you are exporting information to. Remember, only users with a security level 3 (DLR/MGR/ADMIN) can perform an Export.

HOW TO PROCEED

The TrakMate for WindowsTM File Export Facility provides for three types of prospect file export for use in allowing other computer systems to use the information contained in the TrakMate for WindowsTM Prospect File.

The three file formats are:

I. Comma Delimited Format

The Comma Delimited Format (CDL) is designed to provide the ability to export TrakMate data to other PC-based database management systems or into the Lotus 123 and other spreadsheet systems. Exporting into CDL can be done in either of two data sets: (1) All of the TrakMate fields or (2) Basic Fields. In both cases the data is formatted with double quotes around each field with each field separated with commas. Each Prospect record is terminated with a carriage return-line feed combination.

II. WordPerfect Secondary Merge Format.

This format will create a Secondary Merge file for use in conjunction with the WordPerfect Mail Merge feature. The file created is compatible with WordPerfect versions 4.2 and higher.

The fields in this file are numbered and named in the following format:

III. Fixed Length File Format

The Fixed Length File Format is designed to provide the ability to export TrakMate Prospect information to a main frame computer environment or to a mailing list system. Exporting into Fixed File Format can be done in either of two data sets: (1) All of the TrakMate fields or (2) Basic Fields. The first follows the Data Description as given for the Trak Mate File Import Facility. The second is as follows:

Both formats have fixed length fields and records with no delimiters between fields or records.

FILE IMPORT UTILITY

PURPOSE

The Import facility allows TrakMate users to use prospect information gathered from other software programs to bring information into their TrakMate database. Remember, only users with a security level 3 (DLR/MGR/ADMIN) can perform an Import.

IMPORTANT!!

Consult with your local programmer, who has the expertise programming to assist you with this feature, if necessary.

If your programmer needs to consult with TrakMate's programmers, please feel free to call 801-779-3700.

Remember: TrakMate will not be responsible for damaged data as the result of importing with improper import file format.

Always: Make sure that a system BACKUP has been performed before proceeding with the Import and that the TMIMPORT.DAT is valid according to following instructions.

NOTE: Using this facility and information could distort your statistical information for actual floor traffic, if not edited correctly.

HOW TO PROCEED

To import prospect records into the TrakMate System from another computer environment, a file named TMIMPORT.DAT must have been copied into the \Program Files\TrakMate subdirectory. This import file must have the following format:

Comma Delimited in exactly the same format as the TrakMate for WindowsTM CDL Export Format (Basic Fields) as described in the prior section on EXPORT.

The Sales Rep initials, Manager and Last Name field on each prospect are required fields. TrakMate will not run properly if any one the above fields are imported blank.

The IMPORT feature fields SOLD, DELIVERY, AND DELVDATE are all contained in the import file. We don’t assume anything in that area. Therefore, it is the responsibility of the person preparing the import file to insure that SOLD="Y" and DELIVER="Y" for import records that have a DELVDATE.

IMPORTANT CONSIDERATIONS

1. Salesperson and Manager Initials used in the Import File must have already been set up in the configuration section prior to running the import.

2. As each new prospect record is created through the import, the following fields will be initialized to the following values:
